Sea-Watch e.V. is a non-profit initiative dedicated to the civil sea rescue of people on the move. Given the humanitarian disaster in the central Mediterranean Sea-Watch provides emergency aid, demands, and at the same time, forces the rescue by the responsible European institutions and publicly stands up for legal escape routes. We are politically and religiously independent and are financed exclusively by donations.
The Crewing department of Sea-Watch is looking for a Crew Administration Support (f/m/d) with a weekly workload of 20 hours, offering the possibility to work from our Berlin office or home office. The position is initially limited to 12 months with an option to extend.
The Crewing department is responsible for the personnel management of the entire crew on board our two ships (around 31 people per mission on the SW5 and 7 on the Aurora). The team conducts application processes, hiring procedures, feedback interviews and must plan for the long term and sustainably so that our crew can embark and disembark in a timely manner. Furthermore, the Crewing department is responsive to the needs of the crew on board.
The Crew Administration Support is primarily responsible for the administrative and logistical aspects of crew management, while also supporting other operational activities.

Key responsibilities include:
- Supporting the operations and maintenance crew mainly in the administrative area
- Coordination of crew arrivals and departures and support of crew changes and travel bookings with crew operators, ship’s crew and operational departments
- Securing and forwarding of certificates and personnel data in databases and relevant systems
- Maintenance of relevant databases and platforms
- Organize and conduct pre-mission calls with the crews
- Occasional travel to our vessels in the Mediterranean
Your profile:
- 2–4 years’ relevant experience in complex administrative or operational coordination, ideally in environments with high dynamics (e.g., maritime operations, humanitarian missions, shift planning, logistics).
- ability to manage safety‑relevant documents and certifications, including deadline tracking and compliance requirements.
- Experience managing time‑critical, multi‑stakeholder processes, (e.g., crew changes, rotations, travel chains).
- Ability to prioritize and structure your work when handling many parallel tasks, last‑minute changes and operational urgencies.
- Experience in international travel logistics.
- Confident in organizing meetings and crew calls, preparing agendas, documenting decisions and ensuring follow-up.
- High proficiency with digital tools, databases and collaborative platforms; you enjoy keeping systems clean and up to date.
- Professional, clear and empathic communication in any situation.
- Very strong English skills (C1 level).
Desired:
- Experience working with volunteers in an NGO context.
- German or Italian language skills.
- Maritime knowledge or experience in ship operations.
