20-30h/ week, remote, Berlin – immediately

 

Sea-Watch e.V. is a non-profit initiative dedicated to the civil sea rescue of people on the move. Given the humanitarian disaster in the central Mediterranean Sea-Watch provides emergency aid, demands, and at the same time, forces the rescue by the responsible European institutions and publicly stands up for legal escape routes. We are politically and religiously independent and are financed exclusively by donations.

The Crewing department of Sea-Watch is looking for a Crew Administration Support (f/m/d) with a weekly workload of 20 to 30 hours, preferably in Berlin or home office. The position is initially limited to 12 months with an option to extend.

The crewing team is responsible for the personnel management of the entire crew on board our two ships (around 31 people per mission on the SW5 and 7 on the Aurora). The team conducts application processes, hiring procedures and feedback interviews and must plan for the long term and sustainably so that our crew can embark and disembark in a timely manner. Furthermore, the crewing team is responsive to the needs of the crew on board.

Your responsibilities:

  • Supporting the operations and maintenance crew mainly in the administrative area
  • Coordination of crew arrivals and departures and support of crew changes and travel bookings with crew operators, ship’s crew and operational departments
  • Securing and forwarding of certificates and personnel data in databases and relevant systems
  • Maintenance of relevant databases and platforms

Your profile:

• Experience in administrative and coordination roles.

• Ability to manage and archive sensitive documents (e.g., crew certifications, official papers).

• Professional and empathic communication.

• You have a structured of working and know how to organize your work when confronted with several tasks at a time.

• You have an independent way of working and are able to establish new workflows.

• Experience in handling logistics: booking travel, accommodation, and crew movements.

• Capacity to coordinate crew changes and maintain up-to-date team records.

• Experience in organizing meetings and crew calls (incl. preparing agendas, note-taking, and follow-ups).

• Proficiency with digital tools for file sharing, collaborative work, and scheduling.

• Ability to handle confidential information with discretion.

• Experience in working with volunteers in a NGO context.

• Good written and spoken English skills. German and Italian skills are also valuated but not mandatory.

• Relevant maritime knowledge will be seen as an asset for this role.

  • Salary: for 20 hours/week: 1700€/month, 30 hours/week: 2550€/month (employee gross, increases possible based on various factors**)

** From January 1, 2024, we have a new salary model that allows for percentage gross salary increases that take into account family needs and personal disabilities.
